This article will describe the process of sharing a project file from Teams / Sharepoint to a client externally from RESPEC.
To share files with a client you will need the e-mail address of the client and the client will be required to enter a code that is e-mailed to them each time they access the file. The reason for this method of authentication is so that your client user does not need to create a Microsoft Live account to access the files. Instead, each time they access the file they are verifying their identity with confirmation that they are the owner of their e-mail account the file is shared with and a rotating password.
NOTE:
-
If their e-mail account is part of a Microsoft Live account, they will be prompted to log in with their username and password.
- If the account is not part of a live account they will see a screen allowing them to send a code to their e-mail address. This code will be entered into the page to verify they are the person you have given access to. Once they do this they will be able to see the file.
First, you must load your file into a Microsoft Teams channel file share.
1) Inside your teams app upload the file you want to share. Choose the channel you want and select "Files" then select the "Upload" option and choose "Files"
2) Once uploaded you can click the three dots next to the file name and select "Open in Sharepoint"
3) Once the file has been opened in sharepoint you can click on the sharing icon next to the file name.
4) Select the sharing options menu and choose "Specific People"
5) Now enter the e-mail address of the client you are sharing the file too.
6) Click the "Copy Link" option at the bottom of this popup.
7) Click on the "Copy" button on the new popup window. Paste this link into an e-mail and send to your client.
When your e-mail arrives with the link you pasted into it, your client will be able to click on the link and it will take them to a webpage for accessing the file.
The instructions are below related to users whose e-mail account does not belong to a Microsoft Live account. If they have a live account it will be accessed with their username and password instead of an e-mail with a code.
Your customer should know they need to do this process each time they access the link and the code will change each time.
NOTE: The SharePoint code e-mail often gets flagged as junk. So be sure to let your customer know this and check this folder to see if it went there.
For convenience, a customer-facing help FAQ is attached to this article that should assist your customers with the steps they will take to access a file shared with them.
